U. Prospect Management Policies and Procedures

Overview

Because many funding agencies have an interest in multiple areas of the university, the Central Development Office implemented a prospect management system to coordinate the campus-wide cultivation and solicitation of major donors. Please contact the Health Sciences Development Office to determine if a corporation or foundation is under prospect management, on the President’s Reserved List, or on the Corporate and Foundation Clearance List.

Remember: Donor clearance must be obtained to solicit any individual, corporation, or foundation that is under prospect management or for gifts of more than $25,000.

What if I want to approach a corporation or foundation that is under prospect management?

All contact intended to lead to a solicitation with an entity under prospect management should be coordinated through the Health Sciences Development Office. We can help contact the members of the prospect’s team to make sure no other areas on campus are preparing for a solicitation. A donor clearance form must be submitted to the Central Development Office before any area on campus can submit a proposal to an individual, corporation, or foundation that is under prospect management. When you are ready to make a solicitation, the Health Sciences Development Office can help you complete the Donor Clearance Form.

What if I want to approach a corporation or foundation that is on the President’s Reserved List?

Prospects on the President's Reserved List (PRL) are specifically reserved for President Young. Any plans for the cultivation or solicitation of these entities must be shared in advance with him. Please notify the Health Sciences Development Office if you would like to pursue an entity on the PRL. We can help you complete the President's Reserved List Strategy Update and forward your request to the Central Development Office. They will consult with President Young and notify you of his decision.

What if I want to approach a corporation or foundation that is on the Corporate and Foundation Clearance List?

Many corporations and foundations have requested that the university manage proposal submissions through a central point of contact. The Central and Health Sciences Development Offices coordinate proposal submissions and communication with these entities to simplify the process for the grant maker and ensure university priorities are forwarded. Please contact the Health Sciences Development Office if you would like to submit a proposal to a corporation or foundation on the Corporate and Foundation Clearance List.

What if I want to submit a proposal requesting more than $25,000?

The university requires that you submit a Donor Clearance Form for any solicitation that exceeds $25,000. Please contact the Health Sciences Development Office for assistance completing this form.
